On this page I'd like to share some of the useful tips and tools I've learned from being a Virtual Assistant.
Microsoft 365
“Microsoft 365 is a subscription service that makes sure you always have the most up-to-date modern productivity tools from Microsoft. There are Microsoft 365 plans for home and personal use, as well as for small and midsized businesses, large enterprises, schools, and non-profits.”
This is a product that I’ve invested in from the start of my business and luckily working with Grovation SimplicT, they could assist me with all the installation and management of this software. It enables me to have automatic synching on files while working, sharing folders with specific clients, and in general making my work life easier by enabling me to not waste time on back-ups, etc. Saving time is the most important aspect of a VA’s work-life. This enables you to focus on procuring clients and actively using your time to assist these clients.
Sage Accounting
Sage Accounting is an online accounting software that enables you to quickly produce invoices, add supplier invoices, manage your payment, enables automatic synching with bank accounts, and much more. I have the standard package, and this has made month-and year-end a fast and easy process. My accountant has his own login details and can manage the bookkeeping in half the time.
This is one of the two paid for services that I use and have invested in from the start of my business. As a VA I offer the service to clients: making their lives easier, therefore I need to also ensure that I use my time wisely. Sage Accounting makes this process easy.
Toggl Track

Toggl Track is a free to use app that I started using within the first month of my business. I have the app on my phone and laptop, and this enables me to make sure that I track the actual minutes. I can easily look at the amount of time spent on client work and produce reports for each client monthly. The reports can be as detailed as the client wishes for.

GetEmail.io

This website is an excellent tool to use if you must find out contact details for people. It allows you to put in the first name, surname and company URL and then they do the background research using various sites and confirm the email address for you. There are some that you cannot verify, but about 90% of the time it is spot on!

VAASA

This association is a great resource for any VA to join as they have various benefits and the process is very easy. You subscribe online, supply them with your logo and services and they list you on their site. They advertise their VA’s regularly on their LinkedIn page and will send you any and all new RFP’s via email.
